Who we are
CaseOnCall is operated by Receptly, Inc., 8 The Green, STE B, Dover, DE 19901, USA. Receptly determines how and why the CaseOnCall service processes account and session information.
CaseOnCall is launching for users in the United States and Canada. You must be at least 18 years old to create or use an account.
Information we process
- Account information: name, email address, authentication details, subscription status, and preferences.
- Session information: meeting title, scheduling and participation details, audio or video where captured, transcript text, speaker turns, timestamps, and related technical records.
- Coaching information: diagnostic labels, evidence moments, generated feedback, skill trends, progress records, and drill recommendations.
- Service information: usage events, device and browser information, support messages, billing status, security events, and records needed to handle disputes or legal obligations.
We receive information from you, from other participants or organizers involved in a session, from services you connect to CaseOnCall, and from the systems that operate the product.
How we use information
- Provide transcript-backed case interview coaching, reports, progress tracking, and practice recommendations.
- Authenticate accounts, process subscriptions, deliver service messages, and respond to support requests.
- Protect the service, investigate abuse, maintain reliability, and diagnose technical problems.
- Measure product usage and improve the service using appropriate safeguards.
- Comply with law, enforce our terms, and establish or defend legal claims.
Service providers and disclosures
We use service providers in categories such as meeting capture and transcription, cloud hosting and storage, authentication, email delivery, payment processing, security, product operations, and AI inference. These providers may process information only as needed to provide their service to Receptly and under contractual or other safeguards.
We may disclose information when required by law, to protect people or the service, in connection with a merger or other business transfer, or with your direction. We do not sell personal information and do not share it for cross-context behavioral advertising.
Customer content and model training
Customer content, including session audio, transcripts, and coaching records, is never used to train or fine-tune general-purpose or product models. We process customer content to provide the CaseOnCall features you request, maintain security, support users, and meet legal obligations.
Recording and transcription
Before CaseOnCall Assistant is admitted to a meeting, the organizer must tell every participant that the session may be recorded, transcribed, and analyzed for coaching. The organizer must give each participant a meaningful opportunity to ask questions and decline. Anyone who declines must be kept out of the recorded session and the assistant must be removed before the conversation continues.
In jurisdictions requiring consent from every participant, the assistant may be used only after every participant has provided the consent required by applicable law. See the Consent Notice for the participant instructions.
International processing
CaseOnCall is offered in the United States and Canada. Receptly and its service providers may process information in the United States, Canada, and other countries where the relevant service is operated. We use contractual, technical, and organizational safeguards appropriate to the transfer and the information involved.
Retention
We keep information for the period needed for the purpose collected, the account relationship, security, support, disputes, and legal obligations. Raw mailbox and invitation payloads are normally limited to 30 days. Raw provider transcript artifacts are normally limited to 90 days. Account-linked transcripts, reports, and coaching records may remain available while the account is active or while reasonably needed for the service and the purposes described above.
You can request deletion of account-linked records by contacting [email protected]. We verify requests, assess applicable exceptions, and complete the request within the period required by applicable law. Some records may remain where retention is required for security, fraud prevention, billing, legal compliance, or dispute resolution.
Your privacy choices
Depending on where you live and the law that applies, you may have rights to access, correct, delete, receive, or restrict the use of your personal information, and to withdraw consent where processing relies on consent. You may also request information about disclosures or exercise rights through an authorized agent where permitted.
Send a request to [email protected] with the account email, the request you are making, and enough detail to identify the relevant records. We may request verification before fulfilling a request. We do not sell personal information or use it for cross-context behavioral advertising.
Canadian users may contact us first with a privacy complaint or question. If the issue is not resolved, they may contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy authority.
Cookies and similar technologies
CaseOnCall uses cookies and similar technologies needed for authentication, security, session continuity, preferences, and product operation. We do not use advertising cookies on the public site.
Security
We use reasonable technical and organizational safeguards designed to protect information. No internet service can guarantee absolute security, so please avoid placing unrelated confidential or highly sensitive information in a practice session.
AI-assisted feedback
CaseOnCall generates educational coaching with automated systems. Feedback may be incomplete or inaccurate and should be reviewed against the linked transcript moments. CaseOnCall feedback is not legal, medical, financial, employment, admissions, or other professional advice.
